Membership Terms and Conditions

BoxHiit30 Membership Terms & Conditions

1. General

  • Your membership is ongoing unless cancelled in writing with 30 days' notice.

  • Your payments will be deducted via Ezypay regularly: weekly/fortnightly/monthly.

  • A 48-hour cooling-off period applies after signup.

2. Billing & Fees

  • You are responsible for updating account and contact details.

  • Late payments may incur a $5 failed payment fee.

  • Membership fees may increase with 14 days' notice via email.

3. Holds & Freezes

  • You may freeze your membership up to 8 weeks per calendar year.

  • Minimum 5 days' notice required before the next billing date.

  • A $5/week freeze fee applies.

4. Cancellation

  • Cancellations require written notice via email to: hello@boxhiit30.co.nz

  • Early termination of prepaid/term contracts incurs a 25% fee on the remaining balance.

  • No refunds for access cards.

5. Safety & Conduct

  • Members must complete a club induction before using facilities.

  • No sharing access cards; lost cards incur a $15 replacement fee.

  • Members under 16 must be supervised by a guardian.

6. Liability

  • You acknowledge the risk of physical activity and release BoxHiit30 from liability.

  • The club is not responsible for lost/stolen items.

  • Surveillance cameras are active; unauthorised photography is not permitted.

7. Privacy & Data

  • Personal data is collected in accordance with the Privacy Act 2020 (NZ).

  • Your data is used for membership, communication, and billing purposes only.

  • Ezypay will handle payment processing; visit www.ezypay.com for their privacy policy.

8. Access and Studio Use

  • Members must use their own access tag and check in for every visit.

  • Sharing your access with non-members may result in termination of membership.

  • Outside staffed hours, you train at your own risk and must follow safety guidelines.

9. Missed Payments & Debt Recovery

  • If two or more payments are missed, access may be suspended until your account is brought up to date.

  • Continued non-payment may result in referral to a debt collection agency.

10. Marketing Consent

  • You agree to receive occasional promotional emails, texts, or calls from BoxHiit30.

  • You agree to receive updates and promotions

11. Membership Transfers

  • Memberships are non-transferable unless approved by management.

  • In special cases (e.g. relocation), a transfer fee of $99 may apply.

12. Trial Terms

  • Trial members agree to follow all standard club rules.

  • Trial offers are one-time only, and trial participants are not eligible for freezes or refunds.

13. Social Media & Media Use

  • By signing up as a member of BoxHiit30, you consent to the use of any photos or videos taken of you during sessions, events, or in the studio for promotional purposes.

  • This includes but is not limited to: social media channels, website, and Meta (Facebook/Instagram) advertising.

  • To opt out, please notify staff in writing at hello@boxhiit30.co.nz.

14. Injury or Medical Condition Declaration

  • You confirm that you are physically able to participate in high-intensity training.

  • Any existing injuries or medical conditions must be disclosed prior to participation.

  • You accept participation is at your own risk.

15. Refund Policy

  • All prepaid programs, trials, and packages are non-refundable once commenced, unless required under the Consumer Guarantees Act.

16. Member Conduct

  • Members must treat staff and fellow members with respect at all times.

  • Harassment, bullying, or disruptive behaviour may result in suspension or cancellation of membership.

17. Age Requirements

  • Members under 18 require written consent from a parent or legal guardian.

  • Supervision requirements may apply for members aged 16–17.

18. Changes to Terms

  • BoxHiit30 may amend these terms from time to time.

  • Notice will be provided via email and posted at http://boxhiit30.co.nz/terms.

19. Equipment Use & Damages

  • Members are responsible for using equipment safely and correctly.

  • Any damages resulting from negligent or unauthorized use may result in a charge for repair or replacement.

20. Smartwatch / Wearable Disclaimer

  • BoxHiit30 is not responsible for any damage, malfunction, or injury resulting from the use of personal fitness devices or wearables.

  • Members use such devices at their own discretion.

21. Suspension & Ban Clause

  • BoxHiit30 reserves the right to suspend or cancel a membership without refund in cases involving theft, harassment, violence, or dangerous conduct within the facility.

  • This policy exists to protect the safety and experience of all members and staff.

22. No Show & Late Cancel Policy

  • Trial members and clients booked into private or scheduled sessions must provide at least 6 hours' notice to cancel or reschedule.

  • Repeated no-shows or late cancellations may result in loss of access to bookings or forfeiture of trial sessions.

23. Termination of Membership

  • You may cancel your membership at any time by providing 30 days' written notice via email to hello@boxhiit30.co.nz.

  • If you are on a fixed-term membership and cancel before the end of your term, a 25% fee on the remaining balance will apply in addition to the required 30 days' notice.

  • BoxHiit30 may terminate or suspend your membership:

  • - If payments are repeatedly missed or not resolved.

  • - If you breach our conduct, safety, or access policies.

  • - If you misuse equipment, share access, or put others at risk.

  • Prepaid memberships are non-refundable unless required under the Consumer Guarantees Act.

  • On cancellation, any scheduled payments during the notice period will be processed as usual.

  • Access to the facility ends on the final date of your paid term.

24. Legacy Memberships (9Round Transfers)

  • Any existing memberships transferred from 9Round to BoxHiit30 will continue under their original terms except where those terms directly conflict with the current BoxHiit30 Membership Terms and Conditions. These can be viewed here

  • In such cases, the current BoxHiit30 terms will prevail, provided the change is equal to or more beneficial to the member.
